**About this role**

The Department of Alumni
Relations Assistant provides administrative support Associate Dean of
Development, Director of Development, Associate Director of Development, LAG
Development officer, and Director of Alumni Relations; manage daily office
operations; handle budgetary and personnel activities; respond to donor needs
in consultation with the Associate Dean and other staff. This position reports to the Associate Dean
of Development and Alumni Relations for the Law School.





**About the Work Unit**



The Department of
Development and Alumni Relations (DAR) assists Vanderbilt University in
securing the resources, both human and financial, that are required to achieve
its mission and goals. The Department is
responsible for the identification, cultivation, solicitation, and stewardship
of individuals and organizations whose charitable objectives are consistent
with those of Vanderbilt University's teaching and research programs.





**Duties andResponsibilities**



The Talent Consultant will
conduct thorough intake sessions with hiring managers to fully understand and
appreciate the characteristics of their ideal candidate with regard to
knowledge, skills, abilities, and cultural fit. Engage with hiring managers
using a high-touch approach, and involve them in all aspects of the recruiting
process. Support and implement diversity, equity, and inclusion efforts in
recruiting, to increase the likelihood of welcoming new ideas and perspectives
while creating pools of the most talented candidates. Contextualize and assist
hiring departments to understand how Talent utilizes digital outreach and
social media to bolster candidate identification and sourcing. Proactively
build pipelines of talent based on hiring forecasts so there are highly
qualified candidates available when we need them. Review and assess resumes of passive
candidates and applicants based on skills, knowledge, experience and culture
fit, and conduct behavior-based interviews to present a slate of hirable top
candidates to hiring managers for their consideration. Develop and nurture a
candidate experience that translates to a high-quality working relationship and
serves as the foundation for positive relations within the candidate's
department, across the university community, and with those seeking to join the
university in now and in the future. Make data-informed decisions that provide
customer-centric solutions to existing and future problems by developing and analyzing metrics,
dashboards and reports. Actively seek out continual learning,
development opportunities, and stretch assignments for ongoing career
development. Participate on special projects teams and work on various
recruitment or HR initiatives in order to enhance the experience of our
customers, colleagues, and candidates.

**Responsibilities and Duties**



Provide
administrative support to five development and alumni relations staff members



Prioritize
multiple projects based on deadlines



Produce
weekly gift reports. Send the Dean's acknowledgement list to the assistant to
the Dean in order for donors to receive thank you letters signed by the Dean



Conduct
research assignments on Law School prospects to include Advance profiles;
summarize findings



Assist
with alumni events, communication efforts, and stewardship activities



Monitor
and manage class notes for e-newsletters and magazines.



Send
class notes to the assistant to the Dean in order for alumni to receive
congratulations, condolences, etc.



Pull
email lists for current staff, faculty, students and alumni for monthly
law@vanderbilt e-newsletter.



Assist
with proofing newsletters and magazine.



Compile
data, monitor office budget and maintain current/accurate records



Research,
resolve and justify any budgetary discrepancies



Assist
with travel planning and scheduling appointments as needed



Compile
travel packets for each development officer consisting of itinerary, reports
and necessary paperwork



Provide
customer service to prospects, donors, faculty, and staff



Process
expense requests for development and alumni relations staff



Maintain
detailed working knowledge of Microsoft Office applications



Assist
with some logistics for the planning of Reunion Weekend and staff events.



Assist
with staffing Nashville alumni events and Board meetings



Compile
minutes for two Board meetings annually.



Manage
registration process for Reunion Weekend and handle inquiries regarding
donor/alumni events.



Maintain
office files



Handle
data entry as directed and file contact reports



Record
and submit all checks/cash received



Keep
track of all bio updates (including all returned mail, alumni updates, and
updates found by DAR staff)



Receive
all incoming calls for the Law School development and alumni relations office
and handle various inquiries.



Perform
other duties as assigned





**Requirementsof an Ideal Candidate**



A High School Diploma and 12 months of directly related
experience is necessary; a Bachelors Degree is preferred and at
least 24months of directly related experience is preferred.



Strong
customer service skills, with the ability to work and communicate with a
diverse group of clients and colleagues, is necessary.



Strong
interpersonal and phone skills are required.



Ability to
perform and manage multiple projects on a regular basis.



Effective oral
and written communications skills.



Strong time
management and organizational skills.



Ability to work
independently and as part of a team.



Some
evening/weekend work as needed.
